No-Cost Extensions
Foundation staff is aware that unanticipated events occasionally may delay a project from meeting its original schedule for the expenditure of grant funds and result in unexpended funds that could be used productively to advance the original purposes of the grant. In these circumstances, the Scholarly Communications Program will consider only one request for a no-cost extension during the term of a grant.
Timing
A no-cost extension may be requested approximately two months before the originally scheduled end date. Extension requests made after the end date of the grant cannot be considered.
Requirements
To request an extension, the grantee should submit a letter that includes:
1. A summary of progress achieved since the last reporting period;
2. A financial section commenting on actual expenditures since the last report as they relate to the proposed budget, and an explanation of
any significant variance between projected spending and actual spending in each budget category;
3. A detailed explanation of why grant funds will not be fully expended within the original grant term;
4. The proposed new end date by which all activities will be completed and the remaining funds fully expended;
5. A detailed description of the work, including a timeline, to be completed during the extension period;
6. A signed interim accounting using our Financial Reporting Template; and
7. A revised budget detailing how the unexpended balance and interest will be spent.
